Stores
The Stores section in HQ Manager is where you create, provision, and monitor all retail locations in your network.
Creating a Store
Navigate to HQ Manager > Stores and click "Add Store". Fill in the required fields:
- Store Code: A unique short identifier (e.g.,
NYC-001,LA-002). This code appears in reports, transfer documents, and sync logs. It cannot be changed after creation. - Name: The display name for the store (e.g., "Manhattan Downtown").
- Address: The physical address of the store.
- Phone: The store's contact phone number (optional).
- Time Zone: The store's local time zone. This affects report timestamps and register session boundaries.
After saving, the store appears in the list with a status of "Pending Provisioning".
Provisioning a Store
A newly created store must be provisioned before it can operate. From the store detail page, click "Generate Sync Token". This generates a one-time token containing the store ID, HQ server endpoint, and a cryptographic secret. Copy the token and provide it to the person setting up the store hardware.
On the store machine, the token is entered into the store server's configuration file. When the store server starts, it presents the token to HQ, which activates the store and begins the initial data sync. See the Store Provisioning guide for the full procedure.
Viewing Sync Status
The store list and detail pages show real-time sync status for each location:
- Last Sync: The timestamp of the most recent successful sync.
- Status: "Active" (connected and syncing), "Offline" (not synced in the last 15 minutes), or "Pending Provisioning" (not yet activated).
- Pending Changes: The number of data changes waiting to be sent to the store.
If a store shows as "Offline", check the store's internet connection and server logs. Sales continue locally at the store during offline periods and sync when connectivity is restored.
Managing Store Settings
From the store detail page, you can update the store name, address, phone, and time zone. You can also revoke and regenerate the sync token if needed (for example, if the token is compromised or the store server needs to be reinstalled). Revoking a token disconnects the store until a new token is provisioned.
Deactivating a Store
If a store closes permanently, use the "Deactivate" button on the store detail page. Deactivated stores no longer sync and do not appear in active store lists, but their historical data remains in HQ reports. Deactivation is reversible -- you can reactivate a store and re-provision it if needed.
