Price Override

In certain situations, a cashier may need to change the price of an item at the point of sale. Price overrides allow manual entry of a different selling price for a specific transaction without changing the product's catalog price.

When to Use Price Override

Common scenarios include:

  • Damaged goods: A customer wants to purchase a slightly damaged item at a reduced price.
  • Price match: Matching a competitor's advertised price.
  • Manager authorization: A manager authorizes a special price for a specific customer or situation.
  • Pricing error: The catalog price is incorrect and needs immediate correction for the current sale (while the permanent fix is handled through a worksheet at HQ).

How to Override a Price

  1. Add the product to the cart as usual (scan or search).
  2. Tap on the item in the cart to select it.
  3. Tap "Price Override" (or "Change Price").
  4. Enter the new price using the numpad.
  5. Confirm the override.

The cart line updates to show the new price. The original price may be shown with a strikethrough or noted on the line for reference. All totals (subtotal, tax, grand total) recalculate using the overridden price. Tax is computed based on the overridden price and the product's assigned tax rate.

Restrictions

  • Price overrides require the pos.price.override permission. If you do not have this permission, the "Price Override" option does not appear.
  • Price overrides apply only to the current transaction. The product's catalog price remains unchanged for future sales.
  • The original price and the overridden price are both recorded in the sale record for audit purposes.
  • Price overrides cannot increase the price above the catalog price in most configurations. This prevents accidental overcharges.

Audit Trail

Every price override is recorded with:

  • The original catalog price.
  • The overridden price entered by the cashier.
  • The user who performed the override.
  • The timestamp of the override.

This information is visible in the sale detail view and in reports. Managers can review price override activity to ensure it is being used appropriately.

On Receipts

When a price override is applied, the receipt shows the overridden price as the line item price. Depending on configuration, the original price may also appear on the receipt.
